Institutional Liaison

Clear communication. Coordinated follow-through.

Prepare your business information, organise submissions and coordinate follow-up with institutions through clear communication and agreed responsibilities.

Practical preparation and coordination, supported where needed by specialist partners engaged under agreed terms.

Structured support for institutional engagement

Present your requirements clearly. Coordinate the next steps.

From preparing information and submissions to coordinating discussions and follow-up, we help your business engage with relevant institutions through an organised, documented approach.

Requirement & Engagement Planning

Clarify the matter you need to address, its current status and the institutions involved. Organise the background, identify outstanding requirements and agree the route for communication and follow-up.

Support may include

Requirement reviews, institution and department mapping, review of earlier correspondence, information checklists and responsibility planning.

Documentation & Submission Support

Bring together consistent information and supporting records for your submission. Help prepare a clear explanation of the matter and coordinate your review and authorisation before documents are submitted.

Support may include

Document checklists, compilation of supporting records, draft correspondence, submission coordination and acknowledgement tracking.

Discussions & Clarification Support

Prepare for constructive discussions on your requirements, queries or proposed terms. Present relevant facts, coordinate specialist inputs and support clarification or negotiation within your agreed instructions.

Support may include

Meeting briefs, discussion agendas, query responses, coordination of authorised representation and recording of discussion points and next actions.

Follow-up & Issue Coordination

Maintain visibility of pending queries, documents and responses. Coordinate follow-up through the appropriate channels and keep your team informed of progress, outstanding matters and decisions required.

Support may include

Status trackers, correspondence records, action-owner follow-up, escalation preparation and confirmation of next steps.

Prepare for constructive institutional engagement

Present a clear picture. Prepare for a productive discussion.

A clear requirement, organised records and agreed responsibilities provide a stronger starting point for submissions, discussions and follow-up with the relevant institution.

Clear Requirement & Current Position

Explain the matter you need to address, the institution involved and the outcome you are seeking. Outline the background, business implications, current status and any deadlines or decisions requiring attention.

Correspondence & Pending Queries

Bring together previous submissions, acknowledgements, reference numbers and relevant correspondence. Identify unanswered queries, commitments already made and pending responses so the next discussion builds on an accurate record.

Consistent Supporting Documents

Organise the business, financial, technical or other records relevant to the matter. Identify missing information, outdated documents and inconsistencies that need clarification before preparing a submission or response.

Authorised Contacts & Responsibilities

Identify who can provide information, approve communications and represent your business. Agree the limits of any discussion or negotiation, the specialist inputs needed and who will own each follow-up action.

The FairStake delivery process

Organise your institutional engagement. Move forward with clarity.

From understanding your matter to preparing communications and reviewing follow-up, each assignment follows a clear process adapted to the institution, your requirements and the agreed scope.

  1. AS-IS

Understand the matter and current position

Review your requirement, the institutions involved, previous correspondence and pending queries. Identify relevant deadlines, available records and information gaps. Confirm the current position and your intended outcome with you.

Outcome: Matter and outstanding requirements understood

  2. ROADMAP

    Agree the approach and responsibilities

Agree the preparation, communication channels and follow-up priorities. Define your authorised contacts, FairStake's responsibilities and any specialist inputs. Set review points and clarify who can approve submissions, discuss terms and make commitments.

Outcome: Agreed engagement and coordination plan

  3. TO-BE

    Prepare, obtain approval and coordinate

Prepare the proposed submissions, responses and discussion points. Obtain your review and approval before external action. Coordinate agreed communications, meetings and clarification or negotiation within your authorised instructions.

Outcome: Approved engagement actions carried out

  4. GAP REVIEW

    Review responses and pending actions

Review acknowledgements, institutional responses and progress against the agreed scope. Track unanswered queries, missing documents and decisions required. Agree further follow-up, appropriate escalation and the owner of each remaining action.

Outcome: Status reviewed and next actions agreed

Your review is built into the process.

We confirm the AS-IS understanding and obtain your approval of the TO-BE plan before implementation. External communications and any commitments follow your agreed authorisation. Changes to scope and additional support are agreed with you.

Before we begin

Your institutional liaison questions. Clear answers.

A few helpful answers about our role, the information needed and how we agree responsibilities with you.

What does your institutional liaison support cover?

Support may include reviewing your requirement, organising records, preparing correspondence and coordinating submissions, discussions and follow-up. We agree the institutions involved, deliverables and responsibilities before starting. Specialist partners may be engaged under agreed terms where their expertise is needed.

Can we approach you before all our documents are ready?

Yes. Begin with a brief explanation of the matter, its current status and any relevant deadlines. We review the information available, identify gaps and agree which records, clarifications or specialist inputs are needed next.

Can you work with our existing advisers and authorised contacts?

Yes. We can coordinate with your management, legal advisers, accountants and other authorised representatives. We clarify who provides information, approves communications and can discuss terms or make commitments on your behalf.

Do you guarantee an approval, resolution or completion date?

No. Decisions, approvals and response times remain with the relevant institution or third party. Our role is to perform the preparation and coordination agreed with you, track progress and communicate outstanding requirements. We do not promise a particular institutional outcome.

What if a third party changes or withdraws an earlier commitment?

An institution or third party may change its position, introduce conditions or withdraw an earlier commitment. FairStake does not control or guarantee those decisions. We review the implications with you and agree any further work. The engagement agreement addresses responsibilities and liability, including FairStake's own agreed obligations, subject to applicable law.

What activities fall outside your liaison support?

We undertake only lawful, authorised activities. We do not undertake bribery, improper influence, misrepresentation or the use of false documents. We may decline or stop work involving unlawful instructions. Requests outside the agreed scope or authority require review before any action is taken.

How are responsibilities agreed before work begins?

We agree the scope, contracting parties, authorised contacts, client responsibilities and specialist roles in writing. Communications and commitments follow the agreed authority. Involvement by a team member or associate does not itself amount to a personal guarantee of an institutional outcome. Detailed liability provisions belong in the engagement agreement.

Can we discuss confidentiality before sharing sensitive information?

Yes. Please tell us about your confidentiality requirements before sending sensitive documents. We can discuss whether a mutual non-disclosure agreement is needed and agree the permitted use and sharing of information before confidential material is exchanged.

These answers explain our working approach. The agreed engagement documents define each assignment's scope and responsibilities, subject to applicable law.
