Clear obligations. Consistent follow-through.

Bring deadlines, documents, approvals and responsibilities into a clear working process. We help your team coordinate required actions and keep management informed of gaps.

Support may include

Compliance calendars, responsibility mapping, status trackers, reminders and coordination of information required by your specialist advisers.

Procedures & Approval Controls

Make everyday decisions and transactions easier to manage through documented procedures, clear approval limits and defined turnaround times. Clarify who prepares, checks and authorises each activity.

Standard operating procedures, delegation-of-authority matrices, approval workflows, separation of duties and exception-handling arrangements.

Records & Review Readiness

Keep important records organised, current and accessible to authorised people. Identify missing documents and maintain evidence of approvals, submissions and completed actions for reviews.

Document registers, version control, supporting-record checklists, evidence tracking and coordination of information requests during audits or other reviews.

Governance Reviews & Action Tracking

Management review packs, risk and issue registers, decision records, escalation arrangements and corrective-action tracking.

Build a clear picture of your obligations

Organised information. Better compliance oversight.

Bring together your existing requirements, records, procedures and outstanding matters. These help us understand how responsibilities are managed and where attention is needed.

Requirements & deadlines

Share your existing compliance calendar, registrations and requirements identified by your specialist advisers. Highlight upcoming deadlines, overdue actions and any uncertainty about who is responsible.

Records & supporting evidence

Bring relevant registers, policies, submission acknowledgements and approval records. Identify where documents are stored, who maintains them and whether any records are missing, outdated or difficult to retrieve.

Procedures, approvals & ownership

Share existing operating procedures, approval limits and team responsibilities. Explain how work is prepared, checked, authorised and escalated, including expected turnaround times and arrangements when an owner is unavailable.

Open issues & adviser coordination

Gather unresolved review findings, notices, information requests and pending decisions. Identify the internal owners and specialist advisers involved, together with agreed actions, due dates and current status.

The FairStake delivery process

From identified gaps to clear ownership and action.

A structured approach to compliance coordination, practical controls and management oversight—with responsibilities agreed across your team and specialist advisers.

  1. AS-IS

Review obligations, records and existing controls

Review your compliance calendar, procedures, approval limits and open matters. Identify missing records, unclear responsibilities and overdue actions. Confirm our understanding with your team and relevant specialist advisers.

Outcome: Current practices and gaps confirmed

  2. ROADMAP

Agree priorities, owners and review dates

Prioritise the matters needing attention and agree deliverables, deadlines and escalation routes. Define the responsibilities of management, internal teams and specialist advisers, including the information each needs.

Outcome: Agreed priorities and accountable owners

  3. TO-BE

Approve and introduce practical working controls

Prepare the proposed procedures, approval matrix, compliance tracker and review arrangements. Obtain your approval before rollout. Help owners adopt the agreed process and coordinate specialist inputs where needed.

Outcome: Approved controls put into practice

  4. GAP REVIEW

Check evidence, follow-through and open matters

Review completion evidence and whether agreed procedures are being followed. Track overdue actions, unresolved findings and decisions needed. Agree corrective steps, responsible owners and follow-up dates.

Outcome: Remaining gaps and next actions agreed

Your review is built into the process.

We confirm the AS-IS understanding and obtain your approval of the TO-BE procedures and controls before implementation. Specialist inputs and changes to scope are coordinated under agreed responsibilities.

Before we begin

Your compliance questions. Clear answers.

A few helpful answers about responsibilities, working controls and coordination with your specialist advisers.

Can you work with our existing accountant, company secretary and legal advisers?

Yes. We can work alongside your existing advisers and internal team. We agree who provides specialist advice, prepares information, approves actions and tracks completion, so responsibilities and follow-ups are clear.

Can you help us create SOPs, approval limits and reporting timelines?

Yes. We can help document standard operating procedures (SOPs), delegation of authority (DOA) and turnaround times (TAT). These define how work should be performed, who can approve it and when it should be completed. The arrangements are reviewed with your team and approved before implementation.

What if our records are incomplete or actions are overdue?

We can start by reviewing the available records and listing outstanding matters. Together with your team and relevant advisers, we agree priorities, information requirements, responsible owners and follow-up dates. Any specialist response or corrective filing is coordinated with the adviser responsible.

Does your support include legal opinions, certifications or statutory filings?

These services are not automatically included in compliance coordination. Where required, we agree the scope and identify the appropriately qualified professional responsible. Their advice, certification or filing responsibilities are clearly distinguished from FairStake's coordination and process support.

Can we start with one process or choose ongoing support?

Yes. You can begin with a specific requirement, such as a compliance calendar, approval matrix, document register or review of an existing procedure. Ongoing tracking and management reviews can also be agreed. Scope, responsibilities, frequency, timelines and fees are confirmed before work begins.
